Terms and Conditions for Trade Tables at the AIK Ltd 2027 Kinesiology Conference
General Conditions
Registration Agreement:
By registering for a trade table at the conference, exhibitors agree to comply with all event terms and conditions outlined in this document.
Badge Requirement:
All attendees, including exhibitors, must wear official conference badges at all times to access conference areas.
Conduct:
Exhibitors are expected to conduct themselves in a professional and respectful manner that aligns with the values of the conference. The organisers reserve the right to remove or refuse entry to any individual for inappropriate conduct, without refund.
Liability Waiver:
By attending the conference, exhibitors acknowledge and accept that participation is at their own risk. The organisers are not liable for any illness, injury, loss, or damage to persons or property occurring during the event.
Indemnity:
Exhibitors agree to indemnify and hold harmless the organisers against any claims, damages, losses, or liabilities arising from their participation, including those related to products, services, or conduct.
Media Release:
Participation in the conference constitutes consent for the organisers to use any photographs, video, or audio recordings of exhibitors for promotional and marketing purposes.
Force Majeure:
The organisers will not be held liable for any delay, change, or cancellation of the event due to circumstances beyond their control, including but not limited to natural disasters, government restrictions, or public health events.
Trade Table Conditions
Allocation and Use of Space:
Exhibitors must operate within their allocated space. Booth equipment (including tables, chairs, and displays) must not protrude into aisles or interfere with other exhibitors. Subletting or sharing of trade tables is not permitted without prior written approval.
Booth Setup and Pack-Down:
Exhibitors are responsible for their own freight, delivery, setup, and pack-down. All exhibitors must adhere to the designated bump-in and bump-out times provided by the organisers. Early pack-down is not permitted without prior approval.
Equipment and Utilities:
Exhibitors are responsible for providing their own equipment and materials. Access to power, Wi-Fi, or other services is not guaranteed unless arranged in advance.
Demonstrations and Noise:
Any demonstrations, sound, or promotional activities must not disrupt other exhibitors or conference sessions. The organisers reserve the right to limit or stop any activity deemed disruptive.
Security and Property:
Exhibitors are responsible for the safety and security of their own products, equipment, and personal belongings at all times. The organisers accept no liability for loss, theft, or damage.
Product Safety and Compliance:
Exhibitors are solely responsible for ensuring that all products and services comply with applicable laws, regulations, and safety standards. Any therapeutic or health-related claims must be accurate, evidence-based where required, and not misleading. The organisers accept no responsibility for the use or outcomes of exhibitor products or services.
Insurance:
Exhibitors are required to hold current public liability insurance with appropriate coverage. Proof of insurance must be provided upon request.
Sales and Transactions:
All sales and financial transactions are conducted solely between the exhibitor and the purchaser. The organisers are not responsible for any transactions, disputes, or product outcomes.
No-Show Policy:
Exhibitors who do not attend the event will forfeit all fees paid.
Cancellations and Changes
Cancellation by Exhibitor:
All cancellations must be submitted in writing. Refunds will be issued as follows:
- 120 days or more prior to the event: full refund minus $50 deposit
- 120 to 30 days prior to the event: 50% refund
- Less than 30 days prior to the event: No refund
An administrative fee of $50 may apply to all cancellations.
Cancellation or Changes by Organisers:
The organisers reserve the right to modify the event program, layout, or schedule as required. In the unlikely event that the conference is cancelled, registration fees will be refunded in full. No further liability will be accepted.
Additional Notes
Accommodations:
Attendees requiring special accommodations are encouraged to contact the organisers in advance so that reasonable arrangements can be made.
Alignment with Conference Values:
Exhibitors must ensure that their offerings and interactions align with the professional and ethical standards of the conference and the broader Kinesiology community.

Conference Terms and Conditions
Australian Institute of Kinesiologists Limited (AIK Ltd) Conference May 2027
Please read these Terms and Conditions carefully. By proceeding with your registration and making payment for a ticket to the Australian Institute of Kinesiologists Limited (AIK Ltd) Conference, you acknowledge that you have read, understood, and agree to be bound by these Terms and Conditions.
1. Ticket Purchase and Confirmation
1.1 All conference tickets are sold through AIK Ltd’s official registration platform and are subject to availability.
1.2 Bookings are confirmed only upon receipt of full payment.
1.3 Tickets will be emailed to the address provided during registration within 24 – 48 hours of purchase.
1.4 If you do not receive your ticket, you must contact AIK Ltd promptly so that a replacement ticket may be issued.
1.5 Lost tickets or confirmation emails may be reissued to the original purchaser upon satisfactory proof of identity and where reasonable notice is provided before the event.
1.6 Tickets remain the property of AIK Ltd until full payment is received.
2. Ticket Pricing
2.1 By purchasing a ticket, attendees agree to abide by these terms and conditions.
2.2 AIK Ltd reserves the right to change ticket prices at any time without prior notice.
2.3 Any price changes will not affect tickets that have already been purchased and paid in full.
3. Event Changes and Organizer’s Rights
3.1 AIK Ltd reserves the right, at its sole discretion, to:
- Change ticket prices;
- Amend event dates and times;
- Change the venue or location;
- Modify the conference schedule or program;
- Substitute, withdraw, or add speakers, presenters, exhibitors, or sponsors;
- Alter catering, inclusions, and other event arrangements.
3.2 Such changes do not entitle ticket holders to a refund or compensation, except where required by law.
3.3 AIK Ltd does not guarantee the participation of any specific speaker, presenter, exhibitor, or sponsor.
4. Refund and Cancellation Policy
4.1 Attendee Cancellation
- More than 60 days before the event: Full refund less any applicable administration or processing fee.
- Between 30 and 60 days before the event: 50% refund of the ticket price.
- Within 10 days of the event: No refund.
- Within 10–30 days of the event: Refunds are at AIK Ltd’s discretion unless otherwise required by law.
4.2 Refund requests must be submitted in writing to AIK Ltd.
4.3 Approved refunds will be processed to the original payment method within 28 business days.
4.4 A change in personal circumstances, including illness, work commitments, travel disruption, or adverse weather affecting your travel, does not entitle you to a refund.
4.5 Giveaway or prize tickets are non-transferable and non-refundable.
5. Ticket Transfers and Substitutions
5.1 Tickets may be transferred or substituted to another individual up to fourteen (14) days prior to the event with AIK Ltd knowledge and agreement.
5.2 Unlawful resale or attempted resale of tickets is prohibited and may result in cancellation of the ticket without refund.
5.3 Tickets may not be used for advertising, promotions, contests, or sweepstakes without prior written consent from AIK Ltd.
6. Event Cancellation or Postponement by AIK Ltd
6.1 If the event is cancelled before commencement and not rescheduled, ticket holders will be entitled to a refund of the ticket price paid.
6.2 If the event is rescheduled, tickets will automatically be transferred to the new date.
6.3 If a ticket holder is unable to attend the rescheduled event, they must notify AIK Ltd within fourteen (14) days of the announcement to request a refund.
6.4 If the event is cancelled after it has commenced, no refund will be payable.
6.5 AIK Ltd’s total liability is limited to the amount paid for the ticket.
6.6 AIK Ltd is not responsible for travel, accommodation, meals, or any other incidental or consequential costs incurred by attendees.
7. Accomodation and Personal Arrangements
7.1 Attendees are responsible for arranging and paying for their own accommodation, travel, insurance, and other personal expenses.
7.2 Attendees are responsible for all purchases made from exhibitors and trade tables.
7.3 Attendees are responsible for notifying AIK Ltd of any dietary requirements or food allergies at the time of registration.
8. Code of Conduct and Admission
8.1 Attendees must behave professionally and respectfully.
8.2 AIK Ltd reserves the right to refuse entry to, or remove from the event, any person who:
- Is intoxicated;
- Behaves in a disorderly, offensive, or unlawful manner;
- Causes a disturbance; or
- Refuses to comply with reasonable directions from AIK Ltd or venue staff.
8.3 Removed attendees will not be entitled to a refund and may be excluded from future AIK Ltd events. The removed attendee may also be subject to a breach of Code of Ethics and Conduct if a member of the AIK Ltd.
9. Marketing Communications
By purchasing a ticket, you consent to receiving conference-related communications and being added to the AIK Ltd email newsletter database. You may unsubscribe from marketing communications at any time, knowing that you may miss information that is connected to your conference ticket.
10. Privacy
AIK Ltd collects and stores personal information in accordance with applicable Australian privacy laws. Personal information will be handled confidentially and used only for purposes related to event administration and AIK Ltd communications.
11. Liability and Disclaimer
11.1 To the fullest extent permitted by law, AIK Ltd is not liable for any loss, injury, damage, expense, delay, or inconvenience arising from:
- Changes to the conference program, speakers, dates, or venue;
- Cancellation or postponement of the event;
- Actions or omissions of third-party contractors, suppliers, or venues;
- Defects or failures in venues, equipment, or materials;
- Venue policies or legal regulations; or
- Circumstances beyond AIK Ltd’s reasonable control.
11.2 AIK Ltd is not responsible for any loss of or damage to personal property brought to the event.
11.3 Attendees are responsible for their own health, safety, and insurance.
12. Force Majeure
AIK Ltd shall not be liable for any delay, alteration, postponement, or cancellation of the event due to circumstances beyond its reasonable control, including but not limited to natural disasters, severe weather, pandemic, war, terrorism, industrial disputes, government restrictions, telecommunications failures, or venue unavailability.
13. Australian Consumer Law
Nothing in these Terms and Conditions excludes, restricts, or modifies any rights or remedies you may have under the Australian Consumer Law or other applicable legislation that cannot lawfully be excluded.
14. Governing Law
These Terms and Conditions are governed by the laws of New South Wales, Australia, and any disputes shall be subject to the exclusive jurisdiction of the courts of New South Wales.
15. Acceptance of Terms
By purchasing a ticket and attending the AIK Ltd Conference, you acknowledge and agree to these Terms and Conditions.
